MINUTES FROM THE REGULAR MEETING

WEST GEAUGA COMMUNITY JOINT RECREATION DISTRICT

 March 21, 2018 

Meeting was called to order by President Walt Waetjen at 7:00 pm at the West Geauga High School library.  Roll call was taken by clerk, Monica Gromek.  Board members present:    

 Jason Abate also present.    

Tonight is our annual meeting with the groups that use the fields at The Commons.  Walt Waetjen welcomed Bill Bryan (Girls’ soccer) and Jeff Mann (Rec Council soccer).  Jeff told the board the Fall Soccer Tournament is scheduled for October 13; 3 pm October 12 will be set up.  A policeman will be on duty as he was last year. Walt asked if Jeff can put parking lines along the baseball field.  Jeff asked if it is possible to set up the bottom field for soccer in the fall.

Bill Bryan said the 1st game is April 15, 2018.  He may use the lower field also, as he possibly has 10 teams.  Some soccer teams pay to use the turf field at the high school.  Linda Palchick will try to give Jason Abate a 1 week notice of scheduled games.  Walt Waetjen stated that last year went very smooth.  WG Baseball has their meeting tonight also.  Field usage info will be given to Linda Palchick.  

Bill thanks the Board for all that is done at the Commons.  “It is a gem of this community." 

Chris from Meyer Design was introduced by Rick Izant.  A new quote for our Playground project was presented (attachment to these minutes).  Meyer Design is going to rehab the playground equipment this summer.  The decks and staircases will be disassembled, painted and put back together.  The perimeter edging will be removed and replaced. This is all Part A of the quote.  

Financial support is needed for this large project.  Kiwanis Club offered $2,000 + labor.  But the request for monies was not made in writing.  Our Board will resubmit the request including a copy of the playground quote.   The Rotary did a monumental job at Lindsey School playground.  

Frank Formicelli will approach WG Trustee Joe Mazzurco and Chester Township for a donation.  Walt Waetjen will contact Russell Township to get on their agenda to discuss this playground project.  Linda Palchick said July 2018 is a good time for the project to be done as the sport schedules are light.  

Ed Curtis said that $15,000 for the project will come from our Capital Improvement Fund.  Rick Izant motioned to encumber this $15K for the project; John Gromek seconded.  Vote was taken:

Chris from Meyer will notify us with a target date after the 3rd week of June.

The minutes for the: February 2017 meeting were presented.  Bernie Mandel motioned to accept the minutes.  Mick Benitez-Santana seconded.  Vote was taken: 

All in favor, motion carried.  

The Treasurer’s report for February 2018 was distributed by treasurer, Ed Curtis.  The February treasurer’s report showed:  Ending checking balance: $26,421.93; Total disbursements: $485.00; Total deposits: $14.150 00; Encumbered funds: $1,545.00.  Linda Palchick motioned to accept the treasurer’s report; Frank Formicelli seconded.  Vote was taken: 

All in favor, motion carried. 

3 checks were received from the County Auditor’s office.  

Linda Palchick motioned to renew the 2018-2019 Maintenance Contract to Abate Landscaping.  John Gromek seconded.  Vote was taken: 

All in favor, motion carried.  Bernie Mandel motioned to pay the following bills:

Linda Palchick – Facilities                                                                                                     No pavilion requests received.  1st game of soccer season is April 15.  Bernie Mandel suggested we should contact Volleyball teams and the schools if they want to use our field.  Walt Waetjen will contact the Athletic Director at WG to discuss.  

John Gromek – Maintenance                                                                                               Jason Abate told the Board he passed his turf test.  Jason will now be fertilizing the fields at The Commons.  

Mick Benetiz-Santana – Website                                                                                           Mick and John met with the website company on March 4.  They were given an idea of what the upgrade will be.  The launch will be ready in 4 to 6 weeks.  The Board paid for this upgrade.  Mick and John were advised to post newsworthy information monthly. Does an email address already exist?  Board discussion held on 1 email site address vs individual emails for Board Members.  The Commons can be on Facebook also.  Linda Palchick will give Mick pictures to be placed on the website periodically.  All the minutes are now posted.  

A reappointment letter has been received from Russell Township for Ed Curtis; term ending April 2021.  Reappointment for John Gromek is on the WG Board of Education agenda.  Don Drockton has chosen not to reapply for his term on the WGCJRD.

April 11 will be our next meeting.  Ed Curtis motioned for meeting adjournment at 8:10 p.  John Gromek seconded.  Vote was taken:
